Mistakes are bound to happen.  Everyone makes mistakes, and after all, you’re human.  But, most people would agree that all mistakes are not created equal.  Invoicing mistakes should certainly be very high on the list of mistakes to avoid for your business, because let’s face it, your clients aren’t going to stick around very long if you keep messing with something that’s very important to them, their money!  As a business owner, you have a responsibility to your clients to make sure that everything you do is ethical and factual, and if you continuously send out mistake ridden invoices, you leave the door open for those traits to be called into question.  So, how do you get better?

Here’s a look at a few common mistakes to watch out for and how to avoid them:

Inaccurate invoices:

Not ensuring your invoices are correct is just going to cause more trouble in the long run. This includes frequent errors like not checking unapproved time and expenses for ad hoc billing and not cross-checking invoice dates. Take the extra time to double-check the invoice before you send it off.

Creating customer bill shock:

Keep your customers informed of extra charges and price increases. No one likes an unhappy customer.

Lack of billing standards:

The world needs standards, and billing is no different. Talk to the appropriate people in your office and make sure you know what you can and cannot do.

Doing ad hoc billing:

Not checking for missing or unapproved time and expenses will always come back to bite you.  Ensure your billing the correct amount by leveraging automation to capture all time and expenses.

Storing credit card numbers:

This violates PCI-DSS regulations, making it a big don’t-do.
