To help you stay on top of your sponsorship deliverables, we will be utilizing the Cvent Exhibitor Portal – your one-stop place for tasks, deadlines, and guidelines for deliverables. Drill into each task to view more details. Here you can also register your exhibiting staff, as well as purchase LeadCapture licenses to collect leads at the in-person event and much more.

Admins for the exhibitor will receive an email invite to join the portal. If you have already set up your Exhibitor Portal account through the welcome email invite, you can log into the Exhibitor Portal now.

Please do not click “Add your company,” as your company has already been created, and this will generate a duplicate account.

If you forgot your password, please click “Forgot?” and follow the directions on the screen.

Conference registration

There is a task for conference registrations in the exhibitor portal. Here you will find directions for registering your staff (in-person and/or virtual). You will also have the option to purchase additional virtual passes for your staff if needed.  

NOTE: Exhibitors cannot register for the conference through the main event website—you must use the exhibitor portal.

LeadCapture

To capture in-person leads at the event, we will be utilizing Cvent LeadCapture. Diamond and Platinum Exhibitors have Bring Your Own Device LeadCapture licenses allotment included with their sponsorship. This license allows you to scan attendee badges on your personal device (iOS (12+) and Android (5.1+) devices supported) by using the Cvent App. If you need additional licenses, log into the Exhibitor Portal for the directions to purchase additional licenses.

IMPORTANT: As a covid safety precaution, you will not be able to purchase rental devices. You can only purchase app licenses to be used on your personal device. It is one license per device, and that license cannot be shared. Within the portal, you can also customize your LeadCapture questions to gain the most important information from a lead.

All booths are turnkey and include the following:

 

Diamond exhibitors: 20’x20’ island booth with padded carpeting, two  32” monitors, two storage counters, one closet, two stools, wastebasket 

Platinum exhibitor: 10’x20’ booth with padded carpeting, two  32" monitors, storage counter, two stools, white bar table, wastebasket

Gold exhibitor: 10’x10’ booths with padded carpeting, one 32" monitor, storage counter, two stools, wastebasket

Silver exhibitor: 8’x8’ booth, one 32” monitor, storage counter, one stool, wastebasket

Startup Kiosk: 8’ High x 3’ Wide back Structure, storage counter, wastebasket, one 32" monitor

NOTE: All booths include wireless internet and an electric connection. Anything additional can be purchased directly through Freeman. (See Freeman Exhibitor Kit link)

NOTE: Diamond (10 rooms) and Platinum (5 rooms) exhibitors have a specific set number of reserved hotel rooms (exhibitor paid) included in their sponsorship. In-person 1:1 meeting program – Diamond, Platinum and Gold exhibitors

Diamond and Platinum exhibitors will be participating in our 1:1 meeting program. A select group of attendees will be incentivized to pre-schedule 1:1 meeting with these exhibitors at set times during the conference. Meetings will take place in the private meeting room included with your sponsorship. Meeting times and room assignments coming soon!
