What COVID precautions are in place for the Secure Conference?

ConnectWise is taking into consideration CDC and WHO recommendations, legislative guidelines, and current public sentiment in our planning efforts for Secure. Enhanced sanitation and social distancing are being taken into great consideration with the conference experience. Should there be changes to the event for any reason, registered attendees will be promptly notified. 

 

ARRIVAL

Hotel: Registration staff are set behind plexiglass partitions to provide an extra level of precaution.   Digital check in is available for Hilton Honors Guest.

Check in Materials: All hotel information is provided via QR code for touchless scanning. 

Room Touch Points: All common touch points such as menus, bibles, and magazines have been removed and menus have scannable QR codes. 

Room Amenities: Disinfectant wipes are available in the room for every arriving guest as well as upon request. 

Mask Use: Face coverings are required for guests and associates in all indoor public areas. 

 

HOUSEKEEPING 

Sanitation: Each room is completely sanitized and prepped for your safety based on Hilton requirements in conjunction with a partnership with Lysol and the Mayo Clinic. The hotel uses electrostatic sprayers on high touch hard surfaces and sanitizes the television remote control with a sticker noting it is clean.  

Housekeeping: Hotel rooms are cleaned every three days – unless a guest requests additional service. Should you need service during your stay, please contact the front desk. 

Public Bathrooms:  All bathrooms have enhanced cleaning multiple times a day including a full wipe down of all surfaces that could be touched. 

 

MEETING SPACE 

Temperature station and daily questionnaire: We will have a temperature taking station as you enter the meeting space.  Each day you will be given a different color sticker to show you don’t have a fever.

Each day you will be required to complete a short health questionnaire prior to entering the meeting space via a mobile app.

Capacity Restrictions: We have made great precautions to ensure social distance needs when setting up all meeting and pre-function spaces.  Meeting space capacity are set for approximately 30% of full capacity.  Please abide by the signage and directions provided at the event in this regard.

Mask Use:  For the safety of attendees and per Orange County requirements as well as Hilton requirements, masks must be always worn in public locations. Masks should completely cover both the nose and mouth. They may be removed for eating or drinking while standing/sitting in place only.

Traffic flow:  Whenever possible, traffic will be directed in a one-way flow.  Please follow the signage provided.

 

RECEPTION SPACE 

Capacity:  We have reduced capacity between 33% to 50% depending on the set up. 

Mask Use: Face coverings are required outside or in non-public areas. Except when you are sitting/standing in place and eating or drinking.

 

EXHIBITOR BOOTHS  

Set Up: The floorplan for the solution pavilion  has been carefully designed to allow for social distancing.   Signage will be prevalent to guide direct traffic flow and social distancing.

 

FOOD & BEVERAGE 

Food service for the conference: The property will offer contactless buffets with plexiglass shields between food and guests. Banquet servers will serve individuals.  

Seating for Conference meals:  There will be various spaces both inside and outside of the hotel for seating and to social distance to your comfort level.

Onsite Dining: There are restaurants onsite that you may eat in the restaurant order from and take back to your room. Those restaurants are: La Luce, Myth, Harvard, Muse, Beach, Bull & Bear, Peacock Alley and Aquamarine.

Room Service: Is currently not available at the hotel. 

Hotel Bar: The hotel bar will be open and will follow the same protocols as the other onsite outlets. 

Beverage Stations: Troughs will be used for beverage service to keep beverages cold and touchless. There will be touchless dispensers for tea, coffee, cream, and juices as well as water service.

 

PHYSICAL INTERACTION BRACELETS 

To help conference attendees communicate their level of comfort in interacting with one another, ConnectWise is providing color-coded buttons to all onsite attendees:

Red = social distancing, say hi from afar

Green = Fist bumps & elbows only please

 

MISCELLANEOUS 

Audio Visual: Microphones are switched out between speakers and sanitized after each use. Podiums and other hard surfaces are wiped down with disinfectant wipes between each speaker.

Sanitation Stations: Stand-up sanitation dispensers are located prominently throughout the hotel and meeting space. 

Gym and Pool guidelines:  Limited use will be enforced for both the pool and gym.  Both require masks if you are not sitting or stationary. 

Elevator Use:  The hotel limits to 4 people at a time in the elevator.  Please be sure to plan extra time to get to the meeting space during peak times.

Medical care:  A certified nurse will be onsite during all conference hours to assist with any medical needs that arise. 

Potential registrants uncomfortable with the in-person conference option are strongly encouraged to consider the virtual option.
